Authentication

To protect your security Sony Music’s Partner Portal requires Two-Form-Factor Authentication. In addition to your password, you will need to enter a code so we can verify your identity.

There are several options available to receive codes, including via email, SMS to your mobile phone or from an authentication app. We send codes to your email account by default, but you can switch to your preferred method. The other verification methods will require some setup to be enabled.

  • You will be redirected to the Sony Music authentication service.
  • Enter the required details to complete authentication
  • You will be returned to the Partner Portal application.
Disclaimer

To access the Partner Portal you need to accept the terms and conditions of the Disclaimer.

  • Click the Accept button
  • When you are logged in the Invoices page appears

You are not able to access the Partner Portal application if you click the Decline button on the Disclaimer

Forgot Password

Your personal details and password are managed through the Sony Music authentication service. If you forget your password you can request a password reset.
  • Click the button
  • The Sony Music authentication service opens.
  • Click the button
  • Follow the prompts to reset your password

Invoices

Search, filter, change read status and flagged status, email, download and export invoice records.

The invoices page layout - invoices are displayed in a grid and grouped into months.

  • CTRL + click (or CMD + click on Mac) on a plus or minus buttons to collapse the other months

Search

Date Range

Use the top toolbar to select invoices for a specific date range. The default dates start on the first of the current month and end on the current day.
  • To automatically fill the date range use the Select month preset field to select a month from the drop down menu options. If needed you can refine the date range by using the date picker to select specific dates for the from and to date fields.
  • Enter the From and To dates to show invoices between. You can type the date directly in the field or use the date picker to select. The date format needs to be DD-MON-YYYY.
  • Click the Apply button
  • The invoices for the selected period are diplayed

Column search filters

Filtering enables you to display records with specific Partner, Country, Invoice Date, Invoice Number,Invoice Number, and other information by entering filter criteria. Only records that match the criteria are displayed.

Use the column header search fields to filter the results displayed.

  • Type the text that you are looking for into the column search field. You can enter letters, numbers, and other symbols. Search is not case-sensitive. As you type text into the search box it instantly filters the column records to match.
  • Select a specific date using the date picker
  • Click the cross in the column search field to remove the filter

Read status

All new invoice records appear as Unread, indicted by bold text and a solid icon button. You can use the column icon button to manually change the Read status.

  • Click the icon button to toggle - click to Mark as read or click to Mark as unread

Icon Key:

Flagged status

The Flagged status icon is available to help you manage invoices. You could flag a record to make it easier to find or to identity a particular group of records. All new invoice records appear as Not flagged.

  • Click the icon button to toggle - click to Flag or click to Unflag

Email

Send email regarding an invoice to all GDB administrators

  • Click the email icon button for the selected invoice
  • The Send email window appears. Details of the invoice are included in the Subject and Message fields
  • Enter Your message details
  • Click the Send button
  • When the email has sent successfully the window closes

Action selected invoices

Use the checkbox column to select one or more invoices for further action. You can easily change the Read status or Flagged status of multiple records as well as output selected invoices as different types of files.

Selection tips

Select/Deselect all

Use the header column checkbox to select or deselect all invoices for further action.

Select most

Check the header column checkbox to select all invoices then uncheck individual records to remove them from the selection.

Download Invoices as PDF

Download single, selected or multiple invoices, as individual or combined PDF's or ZIP files.

Download selected invoices as PDF

There are several ways to download selected invoices as PDF.
  • Click row to download

    Use to download a single invoice record as a PDF.

    • Select the invoice row and click to download invoice as PDF
    • A PDF of the invoice record downloads to your computer - usually in your Downloads folder
  • Action selected menu option - Download as single PDF

    Use to combine multiple invoice records into a PDF.

    • Select invoices using checkboxes
    • Click the toolbar Action selected button
    • Click the Download as single PDF menu option
    • A PDF of the combined invoice records downloads to your computer - usually in your Downloads folder
  • Action selected menu option - Download as ZIP file

    Use to download single or multiple invoice records as individual PDF's in a ZIP file

    A ZIP file is a single file containing one or more compressed files, offering an ideal way to make large files smaller and keep related files together.

    • Select invoices using checkboxes
    • Click the toolbar Action selected button
    • Click the Download as ZIP file menu option
    • A ZIP file of the selected invoice records downloads to your computer - usually in your Downloads folder. Each invoice record is saved as a separate file and zipped into a compressed file
    • To open a ZIP file: Usually you just need to double click on a ZIP file to extract the contents as files within a folder

Export Invoices as XLS files

An XLS file is a Microsoft Excel worksheet file where the data is presented in a spreadsheet.

Download selected invoices as XLS files

Use to export single or multiple invoice records as an XLS file.

  • Select invoices using checkboxes
  • Click the toolbar Action selected button
  • Click the Export as XLS file menu option
  • An XLS file of the selected invoice records downloads to your computer - usually in your Downloads folder
  • To open an XLS file: Generally you use Microsoft Excel to open and edit XLS files, however there are some alternative software available

Export All invoices

Use to export all invoice records displayed as an XLS file.

TIP: If you filter the invoice records using column search filters you can export just the filtered invoice records as an XLS file.

  • Click the top toolbar Export All invoices button
  • An XLS file of all the displayed invoice records downloads to your computer - usually in your Downloads folder
  • To open an XLS file: Generally you use Microsoft Excel to open and edit XLS files, however there are some alternative software available

Settings

View your Details and Partners, and change your Preferences.

  • Click the header toolbar settings button
  • The settings page appears

Details

View User Details and Last login date and time.

Partners

List of your Sony Partners and their countries.

  • Click plus and minus icon buttons to expand and collapse Partners

Preferences

You can manage all of your Sony Music personal and security details that are used across Sony Music applications, through the Sony Music authentication service.

Edit my Sony Music app profile

  • Click the Edit my Sony Music app profile button
  • You are redirected to The Sony Music authentication service.
  • Follow the prompts to login if required
  • Click the My Details button in the top toolbar
  • The tabbed interface appears.
Tab Use to
Personal details View and change some of your personal details, such as mobile phone number and company name and address.
Change password Follow the prompts and requirements to change your password.
Verification methods We use security codes to verify your identity when you login. There are several options available to get the codes and some setup is required.

Once a method is setup and enabled you can select it as your default verification method, and switch between your enabled methods.

  • Email

    By default codes are sent to your email account, but you can switch preferred verification method.

  • SMS to your mobile phone

    You can have security codes sent as an SMS to your mobile phone. To enable SMS you need to add your mobile phone number and have it verified.

  • Authentication app

    You can use Google Authenticator app to generate security codes. To enable Google Authenticator codes you need to install the application on your smart phone or tablet and setup your Sony Music authentication service account.

Codes that verify my identity

Identity verification codes provide additional security to protect your account. Sometimes called security codes or verification codes, they are short numeric codes that are sent directly to you, through communication methods that have been setup and enabled to meet our security requirements, such as email accounts or mobile phone numbers.
You can also install an authenticator app on your smart device to get codes.

Google Authenticator app

Google Authenticator is a free app that generates verification codes (also referred to as tokens). It can be downloaded and installed on your smart phone or tablet. When you select to use the Google Authenticator app to generate verification codes, we will send you an email with the setup key or QR code required to link your Sony Music Authentication service account to the app.

Follow the prompts to complete your setup. Once setup you can generate verification codes without the need for a network or mobile connection.
